Smart Capture Unlimited: you control who pays

We’re excited to announce that your practice now has full control over your clients’ access, billing and usage of Smart Capture Unlimited. The add-on allows both you and your clients to process limitless receipts and PDFs in FreeAgent, automatically extracting the date and amount. The data is matched to bank transactions or can be converted to an out-of-pocket expense and categorised.

You can now use your Practice Dashboard to:

• choose which of your clients can activate Smart Capture Unlimited
• control who pays for the add-on and benefit from discounts if your practice chooses to pay
• view the ‘status’ of the add-on for all of your clients 

Choose who pays (and access discounts!)

You can now decide whether you would like your clients to pay FreeAgent directly (£5 + VAT per month), or whether you would prefer to pay. The cost will be added to your monthly invoice. 

If your practice chooses to pay, you’ll gain access to discounts. 

If your client is already paying for Smart Capture Unlimited, they’ll need to cancel their subscription so that you can update their settings. Once they have completed their cancellation, they will be able to activate Smart Capture Unlimited again, and the cost will be added to your monthly invoice.

How does Smart Capture boost your practice? 

Smart Capture doesn’t just benefit your clients - it’s also a useful tool for your practice. It’s available on desktop as well as mobile making it easy for you to add receipts on behalf of your clients. Once the data is extracted, the receipt will be automatically matched to a bank transaction or can be converted to an expense where the date and amount will be populated. Smart Capture will also suggest a category for the expense.

This will save you time chasing clients and reduce errors with smooth expense management via efficient bulk uploads, automated data extraction and entry, automated reconciliation and AI-driven expense categorisation. 

It’s a great way to support clients of all sizes, moving them away from a ‘shoebox’ of receipts to a digitalised experience, giving you more time to focus on growing your practice. 

How to activate Smart Capture Unlimited for a client

You can activate the Smart Capture Unlimited add-on via the Add-ons area of your Practice Dashboard.
